JAMA Board Roles, Responsiblities and Qualifications


Leadership is key to making any organization run efficiently and effectively, and JAMA is no exception to that rule.  As the chapter has grown and evolved, the roles of board members continue to become better defined so the board works together to produce the quality programs, networking events and thought leadership that our members and community expects and deserves.

President

As the Chief Executive Officer of the Chapter, the President is expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

The President establishes Chapter objectives for the year and determines whether these objectives contribute to the Chapter’s long-range goals.

·   Direct the chapter’s overall strategy.

·   Be aware of and understand the AMA’s administrative practices described in COG.

·   Work with the President-Elect to prepare the Chapter for the following year.

·   Fiscal responsibility to Board and Members.

·   Facilitate monthly Board meetings and board retreats.

·   Ensure submission of all documentation to AMA-IH in a timely manner.

·   Oversee all activities of the chapter throughout the fiscal year.

10-15 hrs/wk

 

·   President-Elect prior chapter year

·   Minimum of three years Board experience

·   Successful track record of building and leading a team.

·   Ability to coordinate the diverse efforts of the organization toward membership growth

President-Elect

While responsibilities can vary, the President-Elect’s primary role is to assist the President and prepare for the upcoming year. The President-Elect is also expected to perform all of the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Perform the duties of the President in the President’s absence.

·   Attend the AMA Leadership Summit in preceding year.

·   Work with the president on an individual basis to lay out the duties for this position.

Immediate Past President

The Immediate Past President serves as a member of the Board of Directors for one year immediately following his/her President year. This is primarily an advisory position, using past experience to facilitate the operation of the Chapter and, most importantly, as it relates to advising the President. Specific duties can vary, but are expected to include those specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Advise the President.

·   Lead the following year’s Board of Directors Nominating Committee.

·   Manage the Leadership Council and CMO roundtable.

·   Oversee the CEA entry due to IH in August following the presidential term.

Secretary

Effective communications is vital to a successful Chapter, and it is the Secretary’s role to work with the President to prepare minutes, annual reports and document Chapter history.

The Chapter Secretary is the communications coordinator – overseeing all correspondence with the members and outside entities – and should possess notable written communication skills. The Secretary is also expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Prepare and submit meeting minutes.

·   Prepare Annual Report.

·   Document Chapter history.

·   Prepare CEA entry.

·   Be project manager for the events to make sure all activities are covered in a timely manner.

Treasurer

The Treasurer is expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors. Additionally, Treasurers should refer to the “Chapter Operations and AMA Policies - Financial Responsibility and Control” section of the COG for details regarding AMA’s financial philosophy and operating procedures.

·   Submit monthly and annual financial reports.

·   Maintain financial records.

·   File tax return.

·   Check in guests at meetings and programs.

·   Provide monthly updates on financial standing to the board.

·   Create pricing strategy for events and programs.

·   Preparation of the annual budget.

4-8 hrs/wk

·   Excellent written communication skills

·   High-level organizational skills

·   Experience as a CPA (AMA pays for 100% of the chapter’s CPA’s membership for up to 3 years) or a minimum two years accounting experience

VP Membership

The Membership Chair is responsible for leading a team of volunteers to support the membership recruiting strategy and ensure membership recruiting goals are met.

The Membership Chair must be familiar with AMA membership procedures, membership material, and membership reports on the Chapter Reports Portal. Additionally, Membership Chairs are expected to perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Must be familiar with AMA membership procedures, membership material, and membership reports on the Chapter Reports Portal.

·   Lead spring and fall membership campaigns.

·   Check in guests at meetings and programs.

·   Lead all networking events.

·   Organize monthly phone calls.

·   Responsible for attendance, retention and group membership metrics.

5-10           hrs/wk

·   Minimum of five (5) years experience in program management, direct marketing or business development.

·   Strong communication skills.

·   Successful track record of building and leading a team.

·   Ability to coordinate the diverse efforts of the organization towards membership growth

VP Programming

The Programming Chair is responsible for developing and implementing the Chapter's overall monthly program strategy as well as managing and leading a committee to implement these events. The Programming Chair must be familiar with event planning, possess excellent organizational skills and perform all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Lead all monthly program and bi-annual event planning and execution.

·   Secure speakers or program content leaders.

·   Prepare program content with speaker(s).

·   Organize and coordinate speaker travel arrangements (local or otherwise).

·   Secure and manage program venue.

·   Oversee programming committee.

·   Responsible for chapter satisfaction scores on program surveys and the number of months in advance the programs are confirmed.

 

5-10 hrs/wk

·   Degree in marketing or related experience.

·   Experience planning and implementing high-profile events.

·   Successful track record of building and leading a team.

·   Ability to coordinate the diverse efforts of the organization for successful programming

VP Marketing

Leads the implementation of marketing strategy for the chapter (advertising & promotion, branding, creative, pricing, distribution)

·   Manage creative for monthly meetings, biannual events and networking events

·   Place chapter ad copy in key publications

·   Manage all signage and printed collateral

·   Be brand manager for the chapter brand.

·   Oversee Marketing and Social Media Committees

·   Responsible for social media fans and followers in relation to the degree of conversation created.

·   Responsible for measuring the number of attendees to events from each medium.

·   Degree in marketing of related experience

·   Agency experience

·   Experience with advertising copy requirements and placement

·   Brand management experience

·   Successful track record of building and leading a team

·   Price strategy knowledge

VP Communications

The Communications Chair is responsible for regular communications with Chapter membership. The Communications Chair is in charge of effectively, efficiently and consistently communicating to members and prospects to increase awareness, attendance, membership and involvement.

·   Draft all chapter copy (program descriptions, collateral material copy, mailings, templates, press releases, phone scripts, etc.).

·   Manage and build media relations.

·   Pitch media on story ideas.

·   Send out press releases and calendar alerts in advance of events; then, follow up with media for coverage.

·   Oversee Communications Committee.

·   Responsible for measuring the number of media hits per event.

5-10 hrs/wk

·   Degree in communications, journalism or related field preferred.

·   Excellent interpersonal skills.

·   Ability to coordinate the diverse efforts of the organization for successful communications.

VP Sponsorship and Development

The Sponsorship Chair is responsible for identifying Chapter needs that may be supported by corporate sponsorships and coordinating programs to involve the business community in Chapter affairs. This individual is in charge of procuring both fiscal and in-kind sponsorships for the Chapter as well as performing all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Selecting and securing sponsors to subsidize chapter operating budget.

·   Create sponsorship sell sheets for chapter use.

·   Promote sponsorship to other board members and chapter.

·   Secure in-kind sponsorships for operations needs (venues, food/bev, printing, postage, promotional items, ad placement, administrative expenses, etc.).

·   Work closely with VPs of Programming and Membership to find sponsorships for events.

·   Responsible for measuring sponsorship dollars and in-kind donations generated.

5-10 hrs/wk

·   Sales and marketing background.

·   Successful track record of building and leading a team.

·   Ability to coordinate the diverse efforts of the organization for successful development.

VP Web and Interactive Media

Manages chapter website and any other interactive media (webcasts, podcasts, blogs, communities, online event management, online email marketing, etc.)

·   Maintain chapter website, maintain career network site and fix any errors.

·   Optimize the site for navigation and search engines.

·   Update the website with event information in a timely manner.

·   Solicit web content from board.

·   Collaborate with the social media committee.

·   Keep chapter current on technology trends.

·   Responsible for visits to website, time on site and “pagerank.”

5-10  hrs/wk

·   Successful track record of web development and maintenance

·   Experience with video and audio production

·   Experience training others to use technical tools

VP Research

Provides fact-based decision support to the board based on feedback from members, prospects, board members and the community

·   Design, execute and compile the results of the annual member and board member satisfaction survey.

·   Manage, distribute and collect surveys after each program.

·   Monitor web analytics (Google Analytics, Bit.ly and myemma response data and tracking data, EventBrite, Facebook Analytics etc.).

·   Assist in data management of member/prospect database.

·   Assist in creation of Balanced Scorecard.

·   Measure metrics created and supply results to various board members.

·   Report back on learning points from surveys and metrics.

5-10 hrs/wk

·   Experience conducting market and marketing research

·   Able to understand and explain statistics

 

VP Community and Charitable Affairs

Oversees all relationships with charitable organizations and community resource organizations

·   Set up and coordinate chapter charity events.

·   Oversee chapter “Adopt-a-Nonprofit” program.

·   Maintain relationships with local nonprofit organizations.

·   Assist Secretary in managing volunteer resources for the chapter.

·   Responsible for measuring the $ or time spent on other nonprofits.

5-10 hrs/wk

·   Experience working in nonprofit sector

·   Successful track record of building and  leading a team

Directors (for all board roles)

Assists the VP and prepares for the upcoming year.

·   Perform the duties of the VP in the VP’s absence.

·   Lead committee for the particular area of responsibility.

·   Similar qualifications to the corresponding VP role

VP Leadership

Facilitates access for members to learn from and connect with marketing leaders and for marketing leaders to give back to the profession

·   Manage the Chapter’s Leadership Council.

·   Organize and lead Leadership Council quarterly meetings.

·   Recommend and manage Leadership Council programs.

 

2-4 hrs/wk

·   VP of marketing or above

·   Member of JAMA Leadership Council

VP Collegiate Relations

The Collegiate Relations Chair is responsible for assisting local Collegiate Chapters and provides for an exchange of benefits between the Professional Chapters and Collegiate Chapters as well as performing all the duties specified by the Constitution and Bylaws or those approved by the Board of Directors.

·   Maintain communication and organize events between JAMA and UNFAMA.

·   Facilitate participation opportunities for students at JU, FSC, UF and other institutes of higher learning.

·   Keep university faculty members informed of chapter activities and needs.

·   Responsible for measuring the number of students who convert to full members after graduation.
